I’m helping a local scout group manage the booking of their building to a variety of people who want to use it for parties, events, training, etc.

They currently have a simple events calendar where a user will email a request, then it’s all managed and agreed offline. Once ‘approved’, an admin will manually add it to the calendar so visitors can see that time is unavailable.

All payment and invoicing is then done offline too.

I’m looking for a tool that can help me (as the admin) to streamline it all and allow people to make booking requests directly on the calendar/website. Where perhaps they can make payments directly and there is less day-to-day paperwork required for the admin.

I want site visitors to make ‘booking requests’, but unlike a hotel, they can’t pay or even consider it ‘officially agreed’ until there has been an official ‘approval’ from the administrator. – This might require that an admin literally call the user and find out there needs and if the building is suitable etc.

Any help would be appreciated. – Thanks

I’m just a user, but my experience with Events Manager suggests this would not be a good fit for your use case. I’ve seen systems like this, but they’ve normally been bespoke builds for building lettings companies. I suspect there may be a WordPress plugin that does this, but in my (fairly extensive) experience, Events Manager doesn’t lend itself to it easily, if at all.

What about using the Submit an Event shortcode, with an e-mail reply that says something like “Your event request has been received and is pending until we call you.”? Payments is another issue, though—all it would cut down on is the manual entry into the calendar.
