In our store we sell travel packages (WC simple products). It is very common for clients to call us to update their paid/completed order:
add a traveller, add an extra, add a baggage, etc…

These edits never happen from the user’s account since the mainly phone us and we do the dirty job for them.

However, I noticed I cannot update an order with the client’s request and send the same order’s url: the amount to be paid would be the whole order’s total, not the extra added.

I’ve been suggested to work with coupons but that doesn’t seem a straightforward solution (if I’m not missing anything) since the post purchase edits are very common, not something that we do once every hundreds of orders.

Also, I cannot create a separate order for the extra, since it should be linked with the main order reseravation, both for internal management and legal reasons.

How would you handle this scenario? How would you manage paid orders to be upgradable and editable. If new orders are needed how would you link them together?

  • Hey there, @ilwoody! Thanks for contacting us. I’m happy to help you.

Do you mind sharing more details on how your products are set up so we can assist you further?

You mentioned they are simple products, but from what you told us it seems the customer can choose different addons for it, right?

Can you share a product URL so we can take a look and some screenshots of how you set it up on the back end so we can better understand them?

I recommend using https://snipboard.io. You can share the direct link to the image as a response to this topic.

    Looking forward to your reply.

    Have a wonderful day!

Hi sorry for the late reply. Sure, here some useful links.

    Current single product template: https://dev.biancoviaggi.com/viaggio/viaggio-a-lourdes-da-napoli-il-25-04-2024-4-giorni/

Every item is removed to just leave the form. I’m using WS Form wih its Woo extension. When the order is made here how it looks:

    https://www.awesomescreenshot.com/image/46737213?key=e75f6138c528640a3571aa72b2fd4083

It is a simple product, but all the data field from the forms add attributes (I think they’re called this way, but you get the point).

Since this is a travel package, it is super common for our clients to add extras or make edits even after they paid for the order. These edits are only done internally by our team, never by the user.

Let’s say they need to add an extra passenger. I indeed can edit the field by settings “Adults” to 2 and manually update the order total. But if I pass this updated order to the client, he will see that he’ll need to pay the whole updated total, not just the difference.

You can see how creating a separate order isn’t doable: that person needs to be linked to that very order and need to appear in that package.

This is both for internal management but mainly for legal reason: a travel package (since it’s a package) must contain every information related. A separate order, linked together with custom work, might fix our internal management (though I doubt it), but it won’t be legal.

I’m positive we’re not the only tour operator company selling travel package.

Thanks a lot for your time

    Hi @ilwoody,

I understand your concerns. However, this isn’t possible by default with WooCommerce. There are certain workarounds you can try, but they come with drawbacks (example1, example2).

It may be worthwhile doing a?Google search?to see if you can find anything that meets your requirements. Another option would be to consider using a plugin to extend WooCommerce to work with Tour Booking capabilities instead (for instance I can highly recommend our WooCommerce bookings extension!)

If you are still unable to find a plugin that fits your needs, you can go for a custom solution. We have our developer resources portal that can help you get going; feel free to check it further if you need more help with this:

Another option is to check our customizations page to hire an expert who can create a custom solution for you:?
