• Hi – I’m using WordPress v4.1 from my own webspace and looking for some advice regarding the best way to manage emails when I create a new post to the WordPress site, so that the emails only go to to a limited number of users. I run a cycling club and we know all the members (c.40, so not masses) and want some posts to be visible to members only on the website (as well as them receiving an email when I make a ‘members only’ post).

    I can see that there are different types of user on WordPress, about 80% of the club members would only read the posts, not reply to them, but of the other 20%, 10% are likely to want to reply and the other 10% to reply and also make their own posts (some private, some public).

    What’s the best way to achieve this please? I can see different User Roles (subscriber, contributor, editor and administrator) – there would only be 2 site administrators, but I am not sure of the difference between the contributor or editor for example.

    Two scenarios may explain how I’d like the site to operate:

    1. I create a post that tells people when the next club ride is, location, meet time, expected duration etc. I would like this to be a ‘public’ post, visible on the site to members and the general public alike (we may get some new ones!), and also for the post to trigger an email to all club members (who I will have entyered onto the systems under ‘Users’, as a subscriber, contributor or editor).

    2. I want to have a second type of post, which is private to club members only. This could be for the annual general meeting for example and include details of the club finances, or a change to our committee structure – stuff that’s specific to only members. I want this to appear on the site on a page, but be visible to ‘members only’, and for it to also trigger an email to all users that I have entered on the site. I can see that certain pages can have a password associated with them, and that until this is entered the posts or information on that page will not be visible.

    How is it best to achieve these aims please?

  • There are some plugins that allow you to restrict content to certain users, which would make it possible to limit sections of the site based on the user’s role:

    As for being able to send triggered email, there are some plugins that should make it possible to send an email based on category. Notify Users E-Mail seems to handle targeting by category / tag / user group. But I don’t have experience with these directly so couldn’t provide a recommendation.
