• Hi there,

I have a use case and wonder if this plugin can support it.

A library has multiple desks available for usage (say 20). Some desks can be set as a scheduled desk (where only can be used by-prescheduling or reserving) and other desks can be set as on-demand (can be used whenever it is not occupied).

Using a desk is free. If a scheduled desk is discarded by the reserver, can the free spot be automatically converted to on-demand until the next scheduled block?

Each desk usage session has a fixed time block length (scheduled or on-demand).

Can this plugin support recurring scheduled desks that can’t be used on-demand (ie. every Friday from 1pm to 3pm)? Can this plugin rotate desk assignments to minimize wear and tear, based on the historical hours occupied?

    Thanks!

  • Hello! Thanks for your question.

Yes, RentMy can support parsing inventory between “pre-scheduled” and “on-demand” inventory, and “pre-scheduled” can be used as “on demand” by an admin.

Through the use of our asset tracking feature, you can accept online reservations and assign the asset (a specific desk) when the customer arrives for their reservation.

We would be happy to demonstrate how to accommodate your use case.

Thanks for the reply. This sounds promising. Based on your response it looks like usage can only be initiated by the admin. Is there a way for the end user to do this from the user frontend or automate it?

I’d like to have user dashboard where they can log in and view what blocks they’ve scheduled (change schedules), and or view a list of on-demand desks that are available/unavailable. If they select an available on-demand desk, they should be able to claim it and start using it.

When they are using a desk, either during their scheduled block or on-demand, there be a count down timer of time remaining or reminders when they have 5 minutes left.

    Is this possible? Thanks again.

    Hi Again,

Yes, the rental can be initiated by the end user. We’ll explain here, but a quick demo may be warranted to show you the experience.

Here’s an example. You have 20 desks; 10 are on-demand (anytime) and 10 must be chosen from specific time slots. Of the latter 10, the customer won’t know which *specific* desk he/she will be assigned when booking (and probably doesn’t care), but one of the pre-scheduled desks is reserved and removed from availability for the rental term (1 hour, 3 hours, whatever).

When the student arrives, the admin will pick *which* desk to assign (from the available inventory) to the student, leaving the other 9 desks for other students.

I hope that helps clarify our answer. If you need anything else, please reach out!

    Thanks,

Great! Where can I find a demo of this function? Do you have a screencap available?

Correct, for on-demand, the user will not car about which desk it is, just whatever desk is currently available?

As for scheduled desks, can it be automated or will the admin always manually have to assign a desk? Is it possible for it to function like on-demand, where any desk that is a scheduled-desk, will be assigned to them. The user just needs to pick an available block time (recurring, or one time use), and then the system automatically schedules users to scheduled-desks based on their block.

Also what is the process for when the scheduled block time is over and or the user returns the desk to circulation, like is there a check out/check in process? I would like to collect feedback from the user when they are done, perhaps with a checklist to make sure they tidy up etc. For example, a button says “return desk”, and it triggers a pop-up form, and when they complete/submit it, it frees up the desk in circulation and or alerts the next user. Is this possible?

Yes, absolutely. Here’s a video showing the function in action: https://youtu.be/Zt0cOcnNGis (if the video link doesn’t come through, just head to YouTube and search for RentMy).

This particular feature is called “asset tracking”. You can check it out on your own, or go to RentMy.co to connect with a chat agent to schedule your personal demo.

Thanks for the video link. I was browsing through your other videos, in particular the check in/out function: https://www.youtube.com/watch?v=ZikMkySEpT4, is this check in/out only available on the admin side or can there be a frontend user view where the user can do the check out/in (change availability) action themselves from the UI?

I think the scheduled-desk use case could be supported by your current add rental product and start time process.

As my desk-space use case is intended for a libraries, there is a possibility that the admin will want to configure rentals for multiple libraries from one admin account, is there a multi-store/site option with this plugin which would allow this?

Hello – the customer/user can initiate the rental start/end time, which will automatically check-in the desk at the end-time of the rental. If the user “returns” the desk earlier than the scheduled end time, the admin may check it in early, making it instantly available to the next user.

Yes, RentMy support multiple-location management, permitting unique inventory tracking (and, if needed, unique pricing) at each.

    Thank you.
