I’ve got a custom taxonomy called “ensemble” and have changed the list of terms in it a couple of times. Now I’m trying to clean up my data and assign everything to the current versions of the terms. I’m also planning to get some help from teammates who are not as in-the-weeds with WordPress as I am.

The issue is that in Edit Media and bulk edit screens, the old versions of terms show up as checklist items even for terms that aren’t applied to any attachments anymore. I don’t want teammates to see the old versions when editing and apply them instead of the current ones. I want only terms that are currently applied to some attachments within the site to show up as options.

Example: there’s an old version of a term for the “ensemble” taxonomy called “winterguard”. I verified that it’s not applied to any attachments anymore: screen recording . The new term I used instead is “winter-guard-comp-guard”.

However, after verifying this, when opening a new edit media window, the unused term “winterguard” still shows up as an option: screenshot

Good to hear from you again, and thanks for the question.

If a term such as “winterguard” is no longer used or wanted, the conventional solution is to go to the Media/Ensemble Edit Taxonomy screen and delete the term. Is there a reason you do not want to do that?

In general, suppressing terms with no assignments from the taxonomy checklists would be seen as a defect by users who define their terms in advance and then assign items to them later. I understand that you can use the checklist “Add Term” feature, but this is just one approach to term management.

If you are determined to suppress unused terms, the only solution I can suggest is a custom plugin to do that using the hooks that WordPress and MLA provide. I could work on that at some point but cannot commit to a prompt delivery.

I will leave this topic unresolved for now. Thanks for your understanding and your continued interest in the plugin.

Ah, thanks. I had forgotten about the Edit Taxonomy screen. Deleting it from there worked out. Also thanks for the explanation – I can see how others might want to have the terms defined in advance.
