    Hi,

    I’m in the middle of adding a payment system to my webite (video tutorials on drawing) for subscriptions. I’m building this within the context of a local university, so it needs to be in line with their accounting system. I was wondering if I could add a notification system (with emails) whenever someone asks for an invoice? Let’s say by a checkbox or something at checkout.

    I know that there are invoice generators out there, but the invoice has to come from the accounting departement itself. The university sells more than just this website so they don’t want a different numbering system specifically for this site. I’m building. So they would like to know when someone aks for it so they can create an invoice based on their books.

    If I understand correctly, you are looking to generate invoices based on your clients request.

    This can be done with the core “Email invoice” option within the order details in WooCommerce:

    If you are looking for a more customized-like type of invoice, you can check our PDF invoices extension.

    PDF Invoices attaches a fully customizable PDF invoice to a paid or completed order and other WooCommerce emails.

    Invoices can accessed via a Download Invoice link on the Thank You page or in the My Orders area and be resent by selecting Completed Order from the order actions meta box.

    The layout of templates is fully customizable, and fields can be added or removed as needed.

    Hi there,

    Thank you for your reply. I already bumped on this plug-in, but it isn’t what I’m looking for. The invoice has to come from our accounting departement itself, not wordpress. The payments on the site go through paypal, mollie,… on the account number of the university with a special note. If someone requests an invoice it should notify our people and then they should be able to look it up and make an invoice with the template and numbering system of the university. I know it’s not effecient, but there are strict rules about this. I’m mainly looking for a notification system based on a specific trigger on an order that I can send to our accounting people.

    It sounds like you are looking to add a checkbox on the checkout page that allows customers to request an invoice. And once the order is submitted with the checkbox checked, you want to automatically send a notification email to your accounting department.

    If that’s the case, adding a checkbox can be done with a checkout field editor plugin like this or by adding a custom code.

    I have tinkerend something on my own when playing around with custom fields en pay-by-invoice options. You can set up an email filter on specific words from specific senders. I can actually quickly see this way which orders have for example the word “invoice” in them and set up an auto-forward to our accounting people.

    Does the trick for now, but I gonna look further in to a more robust options. Keep you updated.

    Sounds good as a temporary workaround! For a more robust and definitive solution, you may want to consult a web developer as it seems that customization would be necessary for this type of work if you can’t find a plugin with all the features you’re looking for.
