While we do append a unique string to the beginning of the file, it’s true that anyone with that URL can access it. This allows for the file link to be shared with relevant parties on the contact’s end. However, restricting access sounds like a feature request we could consider. I’ve gone ahead and let the developers know.

For a better restriction, I recommend leveraging the Client Portal. Through the Client Portal link, no other users – apart from the CRM admin and the contact whose files are related to – can access the files.

As a rule of thumb, we’d suggest using something more secure like AWS S3 for sensitive content.

Thank you @bluejay77! Maybe a better question would be, would those files ever be indexed in a search. If used the client portal would it eliminate the issue?

When mentioning a indexed in a search, do you mean by search engines like Google, Bing, etc?

In this case, the Client Portal feature should keep the files protected and available only to the customer(s) with that access, therefore nothing will be publicly available for bots and search engines indexing purposes.
